Define Lightning Syncfor Google Settings for Reps
- From Setup, enter Sync in the QuickFind box, then select Lightning for Gmailand Sync.
- Click Let users sync contacts, events, or both between Googleand Salesforce to see additional setup steps.
- From the Set Sync Settings and Check Status section, clickNew Config.
- Click New Lightning Sync Configuration.
- Enter the name of the configuration. For example, if you’recreating a configuration for reps in a particular region, enter aunique name, and then select Active.
- Assign reps and profiles to this configuration.
- Indicate the sync direction for your reps’ contacts or person accounts,and select your preferred matching behavior.
- Indicate the sync direction for reps’ events.
- Indicate whether you want all Google events to sync to Salesforce, oronly the events that reps select. If you set up reps to select events,events reps relate to Salesforce from Lightning for Gmail startsyncing from Google Calendar to Salesforce. To finish setting up thatoption, you’re required to enable Lightning for Gmail, and your usersare required to complete Lightning for Gmail setup.
- Click Save.
- Set filters to specify the contacts reps can sync from Salesforce toGoogle. You are required to set filters based on your reps’ recordownership. Choose whether you want to:Limit contacts that users sync to only what reps own, chooseSelected Contacts, and thenselect User’s Records. Makesure that you select both of these settings together, orno contacts sync for users in this configuration.Let reps sync all contacts they can see in Salesforce,choose All Contacts.Set more sync filters, if youwish. For example, to prevent contacts from outside your reps’territories from syncing, create sync filters for specific fields onreps’ contact records.
- Limit contacts that users sync to only what reps own, chooseSelected Contacts, and thenselect User’s Records. Makesure that you select both of these settings together, orno contacts sync for users in this configuration.
- Let reps sync all contacts they can see in Salesforce,choose All Contacts.
- Select Sync private events to sync events your repshave marked as private in their Google Calendar.
- Select Delete synced events to let reps deleteGoogle events and Salesforce events
- Select Automatically relate Google events to Salesforcerecords to relate important events to the appropriateSalesforce contacts or lead automatically.
- Specify the specific events reps can sync from Google to Salesforce.Enter a filter in the Greater or equal to field.Doing so limits the events reps can sync to these time frames.TODAY—Syncs events that end onor after today. The start time is 12:00 a.m. Learn more about why this selection isrecommended in certain scenarios.LAST MONTH—Syncs events thatended on or after the first day of last month.LAST N DAYS—Syncs events thatended on or after a specified number of days ago, such asLAST 30 DAYS. You can syncevents that ended up to 180 days ago.
